AW welcomed attendees to the meeting and apologies were noted as above.
2. McCloud training/presentation
JH and KC gave a full and detailed presentation on McCloud Remedy Training. There were questions and answers at the end. There were no actions arising from the presentation.

3. Approval of minutes and actions – 5 October 2021
Minutes were approved as a true and accurate record of the meeting. Action tracker was updated.
3. Conflict of interest – declaration and registry

4. XPS update report
GH talked through the reports. There were no new actions that arose.
Highlights:
These reports are only up until November 2020.
Data Quality: High scores for conditional data.
Once McCloud is fully known and what information is required we can then include things like care data etc.
Risk Register: This is now open to deferred members if they wish to apply and ask for access. This is a view only at the moment. This will be updated so that they can do some calculations going forward.
There have been no breaches or complaints at this time.
Cyber Controls: Cyber essentials plus, this is expected to be complete in the next month or two.
We have a few scheme mismatches. We may hold them in care and payroll does not. These will be queried when they come up.
Our system will not produce a benefit statement for anyone on a career break at the end of the year.
We have restricted access to our office in this lockdown. More people are working from home.
We are due to move into our new office in 5 weeks’ time.
New Additional Work: GMP reconciliation work to be started. Any injury projects that are ongoing and the McCloud work will be part of this.
JH had two questions:
JH - How do we engage with deferred members? GH updated that XPS will contact all parties via email addresses and ask them to use the self-service portal. This could be done as part of the benefit statement.
JH – Regarding the Annual Benefit Statement information on pages 9 to 11. This shows a breakdown why the ABS was not sent out. What is the process for chasing them and what is the process. GH will check on this and report back with regards to this and also scheme mismatches. JI updated that XPS should be chasing us for the information.
5. Any other business
Issue on GMP
JH gave a summary that this is a complex area and we are left with a reasonable amount of work that is unresolved and we need reassurance that this work can be resolved within a reasonable timeline.
GH updated that the project team is working on this and the next phase will be completed by March and then they will be able to provide figures to us.
ACTION: GMP Reconciliation Report: GH will update as an Agenda Item at the next meeting on 1 March 2021. XPS to provide an update with regards to GMP Reconciliation figures.
